Simple matching on amount and date breaks down once a statement gets busy. These are the cases Reconciles handles without a formula.

One deposit, many entries

A single deposit often covers several receipts, or a processor payout that bundles dozens of charges minus fees. The engine builds one to many groups and shows which entries add up to the deposit.

Same amount, wrong pair

Two payments of the same value in the same week are easy to swap. Reconciles uses references, payee names and date order to pick the right pair and lowers the confidence score when the evidence is thin.

Timing differences

Checks clear days after they are written and card settlements land after the weekend. Date windows of same day, 3 days or 7 days keep these pairs together and label the gap as a date difference.

Duplicates and reversals

A payment imported twice, or a charge reversed and re-entered, is flagged as a duplicate instead of silently matched.

How cash reconciliation software works on your statement

The same four steps run on every bank account, and you watch them happen on the progress screen.

  1. 01 Parse

    Reconciles reads the statement file, finds the date, amount, payee and reference columns and reports how many lines it read. PDF statements are accepted after you create an account.

  2. 02 Normalize

    Debits and credits are turned into signed amounts, dates into one format and payee names into a clean form, so the bank and the ledger speak the same language.

  3. 03 Match

    Exact matches come first, then grouped matches, amounts within tolerance, date windows, references and fuzzy payee names. Unclear pairs get an AI suggestion with a confidence score.

  4. 04 Exceptions

    What is left goes to the exceptions queue with a plain reason for every item. Nothing posts to your ledger without review.

Instead of one long list of unreconciled items, your team gets five clear groups, each with the reason the engine stopped.

  • Unmatched a bank line with no book entry, or a book entry with no bank line.
  • Partial a deposit that covers only part of an invoice or receipt.
  • Duplicate the same transaction recorded twice on either side.
  • Amount difference a pair that agrees on everything but the amount, such as a short payment or a fee deducted by the bank.
  • Date difference a pair outside your date window, typically an uncleared check.

On Growth you assign items and comment on them. On Scale every resolution goes through approvals and lands in the audit log.

Reconciliation report and journal entries

When the queue is empty, the close paperwork is ready. Export the bank reconciliation report in XLSX or PDF with the opening balance, matched totals, outstanding items and the reconciled closing balance. Export matched pairs as CSV for your own files. Journal entries for bank fees, interest and corrections go out as CSV for QuickBooks and Xero on Growth, and for NetSuite on Scale. The same report feeds your month end close software checklist and your balance sheet reconciliation for the cash accounts.

Plans are sized by the number of bank and payment accounts and the transactions you match each month.

Starter covers 3 accounts and 3,000 transactions a month, enough for one company with a main operating account, a savings account and one processor. Growth covers 15 accounts and 20,000 transactions with journal entries for QuickBooks and Xero.
