A three day close calendar

Reconciliation stops being the step that stalls the close. This is how the first three days look.

  1. Day 1

    Statements, payout reports and ledger exports come in, by upload or through API and SFTP drop on Scale. Reconciles parses every account, matches the bulk of transactions with your saved rules and opens the exceptions queue.

  2. Day 2

    Your team works the queue, not the spreadsheet. Exceptions are assigned to owners, discussed in comments and resolved, and new rules are saved so next month's queue is shorter.

  3. Day 3

    The controller reviews match rates and open items per account, exports reports and journal entries, and signs off. On Scale, approvals and the audit log record each step.

What usually delays the close

How close reconciliation works on each account

  1. 01 Parse

    Each account's files are read: statements in CSV, XLSX, OFX, QFX, MT940 and CAMT.053, PDF after signup, ledger exports and payout reports.

  2. 02 Normalize

    Dates, signs, currencies, payee names and references are aligned across sources.

  3. 03 Match

    Rules first, then exact, grouped, tolerance, date window and fuzzy matches, with fee and FX awareness. AI suggestions cover unclear pairs with a confidence score and a reason.

  4. 04 Exceptions

    Every account's open items land in one queue. Nothing posts to your ledger without review.

One queue for the whole close

The queue shows unmatched, partial, duplicate, amount difference and date difference items across all accounts, filtered by account, entity, type or owner. On Growth items are assigned and commented. On Scale resolutions go through approvals and the audit log, which is what reviewers and auditors ask for.

Close reports and journal entries

Export one reconciliation report per account in XLSX or PDF, matched pairs in CSV, and journal entries as CSV for QuickBooks and Xero on Growth or NetSuite on Scale. On Scale exports can be scheduled to run when the close starts. For the full list of steps, read our month end close checklist.
