Reconciles

Cash reconciliation software and tool for every bank account you own

Reconciles is cash reconciliation software for US finance teams that need the cash balance in the general ledger to agree with every bank account, every day or every month. Upload the bank statements and the GL cash detail from QuickBooks, Xero or NetSuite (CSV or XLSX), and deposits, payments, transfers between your own accounts and bank fees are matched with a reason on each pair. What is left is a short exceptions list with the dollar difference per account. Plans are published from $888 a year, and you can run your own files before you create an account.

Your files are processed in your browser and never stored. No card needed.

Why the cash balance never ties on the first try

The bank says the operating account closed Tuesday at $412,906.15. The ledger says $398,771.40. Nobody did anything wrong. A $9,850.00 wire to the payroll account left the bank on Tuesday but was booked Wednesday, two customer checks were deposited together as one line, a $214.75 analysis fee was never recorded, and a sweep moved $4,070.00 into the money market account overnight.

With five or six bank accounts across two or three entities, those small timing and grouping differences pile up. The cash account becomes the one balance the controller cannot sign off without a spreadsheet, and the spreadsheet is rebuilt by hand every close.

Reconciles does the tie out for every account. It reads each bank statement and the GL cash detail, pairs one to one, one to many and many to one, recognizes transfers between your own accounts on both sides, and turns bank fees and interest into journal entries, so each cash account ends with only the items that really need a person.

What makes cash reconciliation slow

  • Grouped deposits. Several customer checks or card batches land as one bank line, while the ledger has one receipt per invoice.
  • Transfers between your own accounts. A sweep, a payroll funding transfer or an intercompany wire shows up twice, once in each account, often on different days.
  • Bank fees and interest. Analysis fees, wire fees and interest credits appear on the statement before anyone books them.
  • Timing. Payments booked on the check date clear days later, and wires booked on approval leave the bank the next morning.
  • Many accounts. Operating, payroll, lockbox, merchant deposit and money market accounts each need their own reconciliation, every period.
  • Manual matching. Excel lookups on amount alone pair the wrong $1,250.00 receipt with the wrong deposit, and the error surfaces three months later.

Be honest about the gap. Reconciles does not forecast cash, move money or replace a treasury management system. If you need cash positioning and payments in one platform, a treasury suite fits better. If the problem is that cash in the ledger and cash in the bank never agree without hours of ticking, matching is the part to fix.

What Reconciles matches in a cash reconciliation

Bank lines to GL cash

Every statement line is matched to the ledger entry it belongs to by amount, date window and reference, and each pair carries the reason it was matched, such as "check number and amount" or "same day, same payee, amount".

Grouped deposits and split payments

A deposit made of four receipts is matched many to one, and a single ledger payment cleared as two bank lines is matched one to many, so grouped lines never sit as false exceptions.

Transfers between accounts

A transfer out of the operating account is paired with the transfer into the payroll or money market account, across entities when both sit in your workspace, so the same movement is not chased twice.

Fees, interest and unbooked items

Bank fees, interest and other items that are on the statement but not in the ledger are listed separately and exported as journal entries you can import, which closes the gap without retyping.

How to reconcile cash with Reconciles

1. Download the bank statement for each account for the period, as CSV, XLSX, OFX or QFX, or as a PDF statement once you have an account.

2. Export the GL cash account detail from QuickBooks, Xero or NetSuite for the same dates. One export per cash account, or one file with an account column.

3. Upload both. Reconciles reads the columns on its own, matches every line, pairs transfers between accounts and saves the rules it used, so the next period runs with less review.

4. Work the exceptions queue: uncleared checks, deposits with no receipt, unbooked fees and differences by account. Then export the reconciliation report and the journal entries, and sign off.

One week of cash across three accounts, reconciled

A distribution company runs an operating account, a payroll account and a money market account. For one week the bank statements show 1,284 lines and the ledger shows 1,341 entries, because customer receipts are booked one per invoice and deposited in batches.

Reconciles matches 1,239 bank lines to the ledger, 312 of them many to one where several receipts were deposited together. The $9,850.00 payroll funding wire is paired with its arrival in the payroll account, and the $4,070.00 overnight sweep is paired with the money market credit. Nine bank fees and one interest credit, $286.40 net, become a journal entry.

That leaves 34 open items: 31 checks issued but not yet cleared, two customer deposits with no receipt booked and one $1,500.00 debit nobody recognizes. Those 34 lines, not 1,284, are what the accountant reviews before the controller signs off.

Who buys cash reconciliation software

If your question is one bank account against one ledger, the bank reconciliation software page walks through that workflow in detail.
