A firm does not reconcile one company. It reconciles dozens, each with different banks, processors and habits. The work piles up in the first days of the month, and much of it is the same matching done again for every client.

How a firm runs the month with Reconciles

One entity per client

Set each client up as an entity with its own bank and payment accounts. Growth includes five entities and Scale includes twenty five, so you can bring the clients with the heaviest reconciliation work first.

Rules per client

Every client has recurring items: rent, payroll transfers, a merchant fee account, a supplier who always pays late. Save them as rules once and they run every month for that client only. Rules are unlimited on Growth and Scale and do not use the AI suggestion limit.

One queue to review

Exceptions from each client are sorted into unmatched, partial, duplicate, amount difference and date difference. Assign them to the bookkeeper who owns the client, leave comments for questions to the client, and resolve them when the answer comes back.

Exports clients and partners can read

The reconciliation report in XLSX or PDF documents every account for the month. Journal entries go back as CSV for QuickBooks, Xero or NetSuite after review.

Works with the ledgers your clients use

Most clients keep their books in QuickBooks Online or Xero. Reconciles reads their exports and returns entries in the layout each system expects. Review that does not mean redoing

Every match carries a plain-language reason and a confidence score. A partner or senior can open a client, filter by low confidence or by exception type, and see why each decision was made. Access per team member

Roles on Growth and Scale decide who can upload, resolve and approve, and which clients each person sees. Staff work only on the clients assigned to them. On Scale, SSO (SAML) and SCIM connect Reconciles to your firm's identity provider. Details on the reconciliation software security page.

Clients who sell online

Ecommerce clients are often the slowest to reconcile because of payouts, refunds and marketplace settlements. Reconciles breaks Stripe, PayPal, Shopify and Amazon payouts into their parts before matching. The ecommerce reconciliation software page shows how that works.
