Reconciles

Reconciliation integrations for your ledger and payment stack

Reconciles works with the systems finance teams already use. It reads exports from QuickBooks, Xero and NetSuite on the ledger side and from Stripe, PayPal, Adyen, Shopify and Amazon on the payment side, matches them against your bank statements and sends journal entries back as files your ledger can import.

Your files are processed in your browser and never stored. No card needed.

How reconciliation integrations work in Reconciles

Every integration starts with a file you already know how to produce. You export a report from your accounting system or payment provider, drop it next to your bank statement and let the engine match the two. There is no connector to configure before you see your first result.

On your plan you can connect sources so the same files arrive on a schedule, and on Scale you can also send files through the API or an SFTP drop. The matching works the same way whichever route the data takes.

  • Files in: CSV and XLSX exports, plus bank statements in CSV, XLSX, OFX, QFX, MT940 and CAMT.053.
  • Files out: a reconciliation report in XLSX or PDF, matched pairs, and journal entries as CSV for QuickBooks, Xero and NetSuite.
  • Nothing is posted to your ledger without review. Your team approves the entries before they go back.

Accounting system integrations

Your ledger is the side every other source is reconciled against. Reconciles reads the export, keeps your chart of accounts as it is and returns entries in a layout your system recognizes.

QuickBooks

QuickBooks Online has a built-in bank reconciliation that works well for a simple bank feed. Reconciles adds the cases it struggles with: processor payouts net of fees, one deposit covering several invoices, duplicates across accounts and several entities in one month. You export the account transactions or general ledger report, upload it with the bank statement and get journal entries back as CSV.

Xero

Xero matches bank feed lines one at a time inside its reconcile screen. Reconciles works on the whole month at once, groups batched payouts and partial payments, and explains every match with a reason and a confidence score. You export the account transactions report from Xero and import the resulting manual journals as CSV.

NetSuite

NetSuite teams often reconcile many subsidiaries and many bank accounts in the same close. Reconciles reads a saved search export of your transactions, matches it to statements and processor reports, and returns journal entries as CSV for the NetSuite import tool. NetSuite journal entries come with the Scale plan.

Payment processor integrations

Processors pay you in batches. One bank deposit can hide hundreds of charges, refunds and fees, which is why a simple amount match fails. Reconciles splits each payout back into its parts before it matches anything.

Stripe

A Stripe payout bundles charges minus fees and refunds into one transfer. Reconciles reads the payout reconciliation report or balance export, rebuilds each payout from its transactions and ties it to the deposit on your bank statement and to the invoices behind each charge.

PayPal

PayPal keeps a running balance, and money reaches your bank only when it is transferred out. Reconciles reads the PayPal activity report, separates sales, fees, refunds and currency conversions, and matches each transfer to the bank deposit it produced.

Adyen

Adyen pays out in settlement batches across many payment methods and currencies. Reconciles reads the settlement details report, groups the lines by batch and matches the net amount to your bank, with fees and conversion differences shown separately.

Ecommerce and marketplace integrations

Online sales add another layer. The order platform, the payout and the bank deposit each show a different number for the same period, and finance has to explain the gap.

Shopify

Shopify Payments sends payouts that combine orders, refunds, chargebacks and fees. Reconciles reads the payout transactions export, matches each payout to the bank deposit and each order line to its sale, so refunds and fees are booked as costs and not lost inside revenue.

Amazon

Amazon settlement reports list orders, fees, refunds and reserves for each settlement period before one amount reaches your bank. Reconciles breaks the settlement down by transaction type and ties the net disbursement to the deposit, with held reserves tracked from one period to the next.

Any other bank, ledger or payout file

Your bank or ledger is not on this list? Reconciles reads any bank statement in CSV, XLSX, OFX, QFX, MT940 or CAMT.053, and any invoice, bill or ledger export in CSV or XLSX, including Sage. It finds the date, amount, payee and reference columns on its own and tells you how many lines it read.

If you run several of these systems at once, the ecommerce reconciliation software page shows how processors, marketplaces and the bank come together in one run, and the payment reconciliation software page explains how batched payouts are matched.

Which sources each plan includes

  • Starter covers your bank, your invoices and one payment processor.
  • Growth covers all processors and marketplaces, plus journal entries for QuickBooks and Xero.
  • Scale adds the API and SFTP drop, NetSuite journal entries and scheduled exports.

Every plan includes the matching engine, the exceptions queue and exports. Compare plans in detail or read how automated reconciliation works before you start.
