NetSuite holds the books for companies with many subsidiaries, currencies and bank accounts. Its bank matching handles the straightforward lines, while the hard part still ends up in spreadsheets.

How to reconcile NetSuite with Reconciles, step by step

  1. 01 Export a saved search from NetSuite

    Create or reuse a transaction saved search filtered to the account, subsidiary and period you are closing, with date, amount, memo, entity and document number as columns. Export the results to CSV or Excel. Download the bank statement for the same account, or the settlement report from your processor.

  2. 02 Upload the files

    Drop the bank statement in the first slot and the NetSuite export in the second. On Scale you can also send files through the API or an SFTP drop on a schedule. Reconciles detects the columns, normalizes currencies and signs and reports the lines read from each file.

  3. 03 Review matches and exceptions

    Exact, one to many and many to one matches are shown with a reason and a confidence score. Exceptions are sorted into unmatched, partial, duplicate, amount difference and date difference, and can be assigned, commented, approved and resolved with a full audit trail.

  4. 04 Import journal entries back into NetSuite

    Approved adjustments are exported as a journal entry CSV laid out for NetSuite. Bring it in with the NetSuite CSV import, map the fields once and save the mapping for next month. The reconciliation report in XLSX or PDF documents the close.

Getting your NetSuite export right the first time

A few details make the first run cleaner. Keep one account and one subsidiary per export, so every line in the file belongs to the same bank statement. Include the document number and memo columns, because references in those fields give matches a higher confidence score. Use the same period on both files, and widen the date tolerance to 3 or 7 days if deposits post a day or two after the transaction date. Save the search once and reuse it each month, and the export becomes a routine step in your close.
