Encryption in transit and at rest

Every connection to Reconciles uses encrypted transport, from the upload on the home page to the exports you download. Uploaded files are stored encrypted on private storage that is not reachable from the public web, and the rows extracted from them are kept in an encrypted database. Exports are generated on request and delivered over the same encrypted connection.

Demo files never leave your browser

When you try Reconciles without an account, your files are read and matched in your browser. They are not uploaded to our servers, so neither the original files nor any row taken from them is stored. Nothing from an anonymous run is kept for training or any other use.

Retention you control

Paid workspaces have their own retention settings. You decide how long source files and reconciliation results are kept, in line with your own record keeping policy, and you can delete a run, an entity or the whole workspace from your account at any time.

Data processing agreement on every plan

Every plan, from Starter to Scale, includes a data processing agreement that describes what data Reconciles processes, for what purpose and under which safeguards. You can read it on the DPA page and download it from your account. The privacy policy explains which categories of service providers support the product, such as hosting in secure data centers and email delivery.

Access control for finance teams

Roles and permissions

On Growth and Scale, roles decide who can upload files, who can resolve exceptions, who can approve journal entries and who can only view results. Each team member sees the entities assigned to them, which matters for accounting firms with many clients.

SSO and SCIM on Scale

Scale includes single sign-on through SAML, so your team logs in with your identity provider and access follows your existing policies. SCIM provisioning creates and removes users automatically when people join or leave.

Audit log on Scale

Every match, unmatch, approval, comment and export is recorded with the person and the time. The audit log helps when your auditors ask who approved an adjustment and why.

Data residency in the US or the EU

On Scale you choose where your workspace data is stored: in the United States or in the European Union. The choice is made when you set up the workspace and applies to uploaded files, extracted rows and results.

Controls built into the product

  • Nothing is posted to your ledger without review. Every journal entry is approved by a person.
  • Every match carries a plain-language reason and a confidence score, so decisions can be checked.
  • AI suggests unclear pairs only, never forces them, and does not see more than the rows it is asked about.
  • Reconciles reads the files you upload or connect and never writes to your accounting system on its own.

Procurement and IT teams often need written answers before a purchase. On Scale you download a security questionnaire pack from your account, with descriptions of our encryption, access control, retention, data residency and incident handling. Reporting a security issue

If you believe you have found a vulnerability in Reconciles, email [email protected] with the details. We look at every report, keep you informed and ask that you give us reasonable time to fix the issue before sharing it.
