Reconciles

Reconciliation software for small business bank accounts and payouts

Reconciles is reconciliation software for small businesses that have outgrown the reconcile screen in QuickBooks or Xero. It matches your bank statement to payouts from Stripe, Shopify, PayPal or Amazon and to your invoices, explains every match and leaves only the real exceptions for you. Plans start at $74 per month billed yearly, with no sales call and no setup project.

Your files are processed in your browser and never stored. No card needed.

Where small business reconciliation starts to hurt

For a business with one bank account and a few dozen transactions a month, the reconcile tool inside your accounting system is usually enough. The trouble starts when the money arrives in batches. A single Stripe or Shopify deposit can hold two hundred orders minus fees and refunds, and your bank feed shows it as one line with nothing to match against.

That is the point where the owner or the part-time bookkeeper starts exporting files into a spreadsheet every month. It works until someone is on vacation, a refund lands in the next payout, or the bank balance is off by $63.40 and nobody can say why.

  • Processor payouts arrive net of fees, so sales never equal deposits.
  • One customer payment covers three invoices, or one invoice is paid in two parts.
  • The same charge shows up twice after a bank feed reconnects.
  • Card statements, PayPal balances and loan accounts each need their own pass.
  • The month cannot be closed until every gap has an explanation your CPA accepts.

What the software does for a small finance team

Reads the files you already have

Upload a bank statement in CSV, XLSX, OFX, QFX, MT940 or CAMT.053 and a second file such as a payout report, an invoice export or a ledger export from QuickBooks Online or Xero. PDF statements are read after you create an account.

Matches the hard cases

Payouts are split into charges, refunds and fees and matched to the deposit. Partial payments, one payment for several invoices and small date or amount differences are grouped and matched within tolerances you set.

Explains every match

Each pair shows a reason, such as "payout batch net of fees" or "same amount, date within 2 days", and a confidence score, so your bookkeeper reviews instead of redoing the work.

Keeps a short exceptions list

What is left is sorted into unmatched, partial, duplicate, amount difference and date difference. You see the exact gap on each line and resolve it once.

Remembers your rules

Save a rule for the lines that repeat every month, like your software subscriptions or the monthly loan payment, and it runs before anything else next time.

Exports for the close

Download the reconciliation report as XLSX or CSV for your CPA. On Growth, approved matches export as journal entries for QuickBooks and Xero.

How a small business reconciles a month in Reconciles

  1. 01 Export two files

Download this month's bank statement and the second source, for example the Stripe payout report or your open invoices list from QuickBooks.

  2. 02 Drop them on the home page

Both files are read in your browser. You see how many lines were read from each file before anything is matched.

  3. 03 Review matched pairs

Check a sample of matches and their reasons. Accept them in bulk once you trust the pattern.

  4. 04 Clear the exceptions and export

Work through the short list of exceptions, then export the report for your records or your accountant.

Small businesses that get the most out of it

Built-in reconcile vs spreadsheets vs Reconciles

Most small businesses choose between three options. The table shows where each one fits, so you can tell whether you need dedicated software at all.

When you do not need reconciliation software yet

We would rather you keep your money than buy a tool you will not use. If you have one or two bank accounts, fewer than a few hundred transactions a month and customers who pay invoices one at a time, the reconcile screen in QuickBooks Online or Xero does the job. Our guide to bank reconciliation in QuickBooks walks through it. Come back when payouts, partial payments or a second entity start pushing you into spreadsheets.

Which plan fits a small business

Most small businesses start on Starter at $74 per month billed yearly or $149 monthly. It covers 3 bank and payment accounts, 3,000 transactions matched per month, 3 seats, bank and invoice matching and one processor. Businesses that sell through several channels or want journal entries for QuickBooks and Xero move to Growth at $199 per month billed yearly. Every limit is on the pricing page.
