Stripe reconciliation from payout to bank to invoice

Reconciles automates Stripe reconciliation. You export the payout reconciliation report from Stripe, upload it with your bank statement, and Reconciles rebuilds each payout from its charges, refunds and fees, matches it to the deposit and to your invoices, and exports the fee and refund entries for your ledger.

Why a Stripe payout never matches your invoices

Stripe collects card payments for days and then sends one payout to your bank. That payout is the total of the charges in the batch, minus Stripe fees, minus refunds and disputes, sometimes adjusted by currency conversion. Your bank shows one deposit. Your ledger shows dozens of invoices at their full amount. None of the numbers agree.

  • Fees reduce every payout, so gross sales never equal the deposit.
  • Refunds and disputes from earlier weeks are taken out of a later payout.
  • Payouts in a different currency from the charge add conversion differences.
  • A payout covering the end of one month and the start of the next splits across two closes.

Doing this by hand means opening the payout in the dashboard, listing its transactions and adding them up in a spreadsheet, for every payout of the month.

How to reconcile Stripe with Reconciles, step by step

  1. 01 Export the payout report from Stripe

    In the Stripe Dashboard, open Reports and download the payout reconciliation report for the month, itemized by transaction. You can also export the balance history. Download your bank statement for the same period in CSV, OFX, QFX, MT940 or CAMT.053.

  2. 02 Upload the payout report and the bank statement

    Drop the bank statement in the first slot and the Stripe export in the second. Add your open invoices or ledger export in a second run if you also want each charge matched to its invoice. Reconciles reads the payout id, the gross amount, the fee and the net amount of every line.

  3. 03 Review matches and exceptions

    Each payout is rebuilt from its transactions and matched to the deposit with the reason "payout batch net of fees". Charges are matched to invoices by amount, reference and customer name. Payouts that do not add up, missing deposits and duplicate charges go to the exceptions queue with the exact difference shown.

  4. 04 Export entries back to your ledger

    Reconciles exports journal entries that book Stripe fees to their cost account, refunds against revenue, and conversion differences to their own line. Import them as CSV into QuickBooks, Xero or NetSuite after review.

What the Stripe payout report tells Reconciles

  • Payout id and arrival date, used to tie each payout to one bank deposit.
  • Gross amount, fee and net amount of every charge, refund and dispute.
  • Customer and invoice references used to match charges to open invoices.
  • Currency of the charge and of the payout.

The more of these columns your export has, the more matches get a high confidence score. If a column is missing, Reconciles falls back on amount and date windows and tells you so in the match reason.

A Stripe payout, line by line

Say a payout of $4,820 reaches your bank on the 3rd. The payout report shows it was made of forty charges worth $5,100, minus $160 in fees, minus one $120 refund for an order from the previous week. Reconciles adds those lines, confirms they equal the deposit and marks the match as "payout batch net of fees" with a high confidence score. The $160 becomes a fee entry and the $120 a refund entry, ready for review. If the lines added up to $4,790 instead, the payout would go to the exceptions queue as an amount difference of $30.
