Reconciliation software FAQ
Answers to the questions finance teams ask before they reconcile with Reconciles: which files it reads, how matches are explained, what happens to your data, how exports reach your ledger and how plans, limits and cancellation work. If your question is not here, write to [email protected].
How the product works
Reconciles is AI reconciliation software. It reads a bank statement and a second file, such as open invoices, a ledger export or a processor payout report, matches the lines on both sides, explains every match and puts everything that does not match into a short exceptions queue.
Bank statements in CSV, XLSX, OFX, QFX, MT940 and CAMT.053, plus PDF statements after you create an account. For the second file, invoice and bill exports in CSV or XLSX, ledger exports from QuickBooks Online, Xero, NetSuite and Sage, and payout reports from Stripe, PayPal, Adyen, Shopify Payments and Amazon.
Exact matches, one to many and many to one groups such as a payout that covers dozens of charges, partial payments, amounts within your tolerance, dates within a window you set, references and payee names that are spelled differently on each side.
Every match shows a plain-language reason, for example amount and reference, or payout batch net of fees, and a confidence score. You can open any match and see the lines behind it.
No. Reconciles prepares matches, reports and journal entries. Someone on your team reviews them, and journal entries go to your accounting system as a file you import.
The list of everything that did not match, sorted by type: unmatched, partial, duplicate, amount difference and date difference. On Growth you can assign and comment on exceptions, and on Scale you add approvals and a full audit log.
Yes. Rules such as payee contains, amount range or account are saved and applied to every new run. Starter includes 20 rules, Growth and Scale have no limit on rules.
Yes. Amounts are normalized per currency, conversion differences are flagged separately, and processor fees are recognized inside batched payouts so the net deposit matches the gross charges.
No. Your ledger stays where it is. Reconciles does the matching your accounting software struggles with and sends journal entries and reports back to it. Read more on the integrations page.
Trying it
Yes. Upload a bank statement and a second file on the home page. You see the progress, the match rate, the first 10 matched pairs and the number of exceptions by type without signing up.
One more page of matched rows on your result and one more sample run of up to 500 lines. The sample export includes the first 25% of rows and carries a preview mark. This is a one-time demo, not a plan.
PDF statements are read after you create an account. The anonymous demo accepts CSV, XLSX, OFX, QFX, MT940 and CAMT.053.
Your data and security
Files are encrypted in transit and at rest. In the demo your files are processed in your browser and never stored on our servers. Paid workspaces keep data according to the retention period you choose.
Yes. The DPA is part of every plan and is available to download from your account.
Starter workspaces share access among their seats. Growth adds roles and permissions, and Scale adds single sign-on (SAML), SCIM provisioning and an audit log. Details are on the security page.
Scale workspaces choose data residency in the US or in the EU. Other plans are hosted in the region we assign when the workspace is created.
No. Your files are used only to reconcile your accounts and to produce your reports.
Plans and billing
