Xero reconciliation for a whole month at once
Reconciles speeds up Xero reconciliation when the bank feed is not enough. You export the account transactions report from Xero, upload it with your bank statement or payout file, review matches and exceptions in one queue, and import the approved adjustments back into Xero as a manual journal CSV.
Your files are processed in your browser and never stored. No card needed.
Where the Xero reconcile screen slows you down
Xero shows bank feed lines on the left and suggested matches on the right, one line at a time. That is comfortable for a few dozen lines. It becomes slow when the month is full of payouts, partial payments and duplicates.
- A processor deposit has to be matched against many invoices and fee lines by hand.
- A customer pays several invoices at once, and you search for each one.
- Fees, refunds and currency differences need separate entries before the line balances.
- Clients with many bank accounts repeat the same clicks every month.
Reconciles looks at the whole month in one run, groups what belongs together and leaves only real exceptions for your team.
How to reconcile Xero with Reconciles, step by step
-
01 Export the report from Xero
In Xero, open Accounting, then Reports, and run the Account Transactions report for the bank or clearing account and the period you are closing. Export it to Excel or CSV. Download the statement for the same account and period from your bank, or the payout export from your processor.
-
02 Upload both files
Drop the bank statement in the first slot and the Xero export or payout file in the second. Reconciles reads the columns, brings dates, signs and currencies to one format and tells you how many lines it found in each file.
-
03 Review matches and exceptions
Every match carries a reason, such as "amount and reference" or "payout batch net of fees", and a confidence score. Lines that do not match are sorted into unmatched, partial, duplicate, amount difference and date difference. Assign them, comment on them and resolve them in the queue.
-
04 Export manual journals back to Xero
Approved adjustments come out as a CSV laid out for the Xero manual journal import. Import the file in Xero, check the draft journals and post them. The reconciliation report in XLSX or PDF goes into your close file.
What Xero reconciliation with Reconciles covers
- Bank statement vs Xero account transactions, missing and extra items flagged on both sides.
- Stripe, PayPal and Shopify payouts broken down into charges, refunds and fees, see PayPal reconciliation.
- Customer receipts vs open invoices, including partial and combined payments, see invoice reconciliation software.
- Supplier payments vs bills.
- Multi-currency accounts, with conversion differences shown on their own line.
Saved rules run on every new month, so recurring items like bank charges, payroll transfers and subscription fees match without anyone touching them.
Xero reconciliation across client organisations
Advisers who look after many Xero organisations can set each one up as an entity in Reconciles, with separate rules, exceptions and exports. Growth includes five entities and Scale twenty five, with roles and permissions so each team member sees only the clients assigned to them. More on this on the reconciliation software for accounting firms page.
You stay in control of what reaches Xero
Reconciles does not post anything to your Xero organisation by itself. Every journal is reviewed in Reconciles and imported by you. Files are encrypted in transit and at rest, and paid workspaces have retention settings. Details are on the security page.
Xero reconciliation questions
Yes. Keep your feeds running. Reconciles works next to them and handles the lines that are slow to reconcile by hand, so the Xero reconcile screen is quick to finish at the end.
