Amazon settlement reconciliation from report to bank
Reconciles automates Amazon settlement reconciliation. You download the settlement report from Seller Central, upload it with your bank statement, and Reconciles breaks each settlement into orders, fees, refunds and reserves, matches the disbursement to the bank deposit and exports entries that book every fee type correctly.
Your files are processed in your browser and never stored. No card needed.
Why Amazon settlements are hard to reconcile
Amazon does not pay you per order. It collects sales over a settlement period, deducts referral fees, fulfillment fees, advertising charges, refunds and other adjustments, may hold part of the balance as a reserve, and then sends one disbursement to your bank. The settlement report explains it, but in thousands of lines and many transaction types.
- Dozens of fee types sit next to each other in one report.
- Reserves held in one period are released in a later one.
- Refunds and reimbursements arrive in different settlements from the original orders.
- Settlement periods rarely line up with your calendar month.
Booking the disbursement as one revenue line hides fees and refunds and makes the marketplace look more profitable than it is.
How to reconcile Amazon settlements with Reconciles, step by step
-
01 Download the settlement report from Seller Central
In Seller Central, open Reports, then Payments, and download the settlement report for each settlement in the period as a flat file. Download your bank statement for the same period from your bank.
-
02 Upload the settlement report and the bank statement
Drop the bank statement in the first slot and the Amazon report in the second. Reconciles reads the settlement id, the period, the transaction type, the order id, the amount type and the amount of every line, and sums the lines per settlement.
-
03 Review matches and exceptions
Each settlement is matched to its bank deposit with the parts listed: orders, fees by type, refunds, reimbursements and reserve movements. A settlement whose total does not match the deposit, a deposit with no settlement or a refund with no original order goes to the exceptions queue with the exact difference.
-
04 Export journal entries back to your ledger
Approved entries book gross sales to revenue, each fee group to its own cost account, refunds against revenue and reserves to a holding account that carries over to the next period. Import the CSV into QuickBooks, Xero or NetSuite after review.
Reserves and settlement periods across month end
A settlement that starts on the 25th and ends on the 8th belongs to two closes. Reconciles keeps the settlement period from the report, so you can split activity by date for your month end and still tie the full disbursement to the bank. Reserves are tracked from the period that held them to the period that releases them, so the holding account always explains itself. More on closing the month on the month end close software page.
