Reconciles

Billtrust alternatives and Billtrust competitors for cash application

Reconciles is a Billtrust alternative for US finance teams whose real bottleneck is cash application: matching bank deposits, ACH and wire receipts and processor payouts to open invoices. Billtrust does not publish prices, and ERP Research puts buyer-reported costs at about $20,000 to $60,000 a year, rising with invoice volume, plus payment processing. Reconciles publishes plans from $888 a year, charges no implementation or processing fee and shows matched pairs from your own files before you create an account.

Where Billtrust fits and where it does not

Billtrust is an order to cash platform based in Lawrenceville, New Jersey, owned by EQT Private Equity since a December 2022 take-private valued at about $1.7 billion. ERP Research lists five modules: invoice delivery (email, a buyer payment portal, more than 260 AP portals and e-invoicing networks, plus print and mail), B2B payment acceptance, AI cash application, credit management and collections. It connects to SAP, Oracle, NetSuite, Microsoft Dynamics 365 and Infor through more than 40 certified connectors.

That is a strong fit for a distributor or manufacturer sending tens of thousands of invoices a month to customers who pay through portals and lockboxes. It is a lot of platform when the real problem is narrower: a customer pays six invoices with one ACH, short pays one, and the remittance arrives as a PDF two days later. Matching that payment to the right invoices is the part of Billtrust most finance teams are trying to fix, and it is the only job Reconciles does.

Which Billtrust modules Reconciles replaces

Billtrust moduleCovered by ReconcilesWhat to use instead
Cash application Yes, bank and payout lines matched one to one, one to many and many to one against open invoices Not needed
Short pays, overpayments and unapplied cash Yes, sent to an exceptions queue with owners and comments Not needed
Bank to ledger reconciliation after posting Yes, statement CSV, XLSX, OFX, MT940 or PDF against any ledger export Not needed
Invoice delivery and AP portal uploads No Billtrust, Versapay or your ERP
Customer payment portal No Billtrust, Versapay or Quadient AR
Credit management and collections workflow No Billtrust, HighRadius, Tesorio or Gaviti

If most of your pain sits in the first three rows, the choice is mostly about price and setup time. If invoice delivery and collections are the problem, keep an AR suite for them and judge Reconciles only on the matching.

Other Billtrust competitors buyers compare

G2's Billtrust alternatives page names BILL AP/AR, Invoiced, HighRadius, Tesorio and Quadient AR, and ERP Research groups Billtrust with Versapay, HighRadius and Esker. The cost side is broken down in our Billtrust pricing guide. The shortlist splits by what you are buying.

  • Versapay competes on the customer portal and cash application for NetSuite, Sage Intacct and Dynamics users. See Versapay alternatives.
  • HighRadius sells a full order to cash suite including deductions and credit, compared in HighRadius competitors.
  • BILL AP/AR and Invoiced suit smaller sellers that mostly need invoicing and online payments.
  • Tesorio, Gaviti and Quadient AR lead on collections workflow and cash forecasting.
  • BlackLine bundles cash application with account reconciliations for large groups, see the BlackLine alternative page.

Pick the group by the module. Portals, invoice delivery and dunning belong with the AR suites. Matching deposits to invoices belongs with whichever tool matches fastest for the money.

What changes when cash application moves to Reconciles

One deposit, many invoices

The engine reads the bank or payout line and the open invoice file and tries one to one, one to many and many to one combinations on amounts, invoice numbers in the memo and payer names. Six invoices paid by one ACH come back as one group with the total shown.

Short pays flagged, not forced

When a customer pays $180 less than the invoices it references, the payment is matched to those invoices and the difference goes to the exceptions queue with the amount, so someone books the deduction instead of hunting for it.

A reason on every pair

Every match shows why it was made, such as invoice number found in the memo, amount and date within two days, or three invoices summing to one deposit. Reviewers approve pairs instead of re-checking them.

Journal entries for the ledger

Growth exports journal entries for QuickBooks and Xero and Scale adds NetSuite, so applied cash and processor fees land in the ledger without retyping. The cash application software page shows the full flow.

How to test a Billtrust alternative before your renewal

1. Export one month of deposits from your main operating account as CSV or XLSX, plus any Stripe, PayPal or lockbox files.

2. Export open invoices from the ERP for the same customers, with invoice number, customer name and open amount.

3. Upload both and read the match rate, the exceptions queue and the reason on each pair.

4. Count what is left. If most remaining items are disputes and portal questions, you still need an AR suite. If most are unapplied cash and short pays, a matching tool covers it.

When Billtrust is the better fit

  • Your customers require invoices uploaded to their AP portals and you send thousands a month.
  • You want customers paying through a branded portal and the processing economics work for you.
  • You run SAP, Oracle or Dynamics and want one certified connector for invoicing, payments and cash posting.
  • A credit and collections team works disputes and dunning all day.

When Reconciles is the better fit

  • Your invoices already go out from the ERP and the pain starts when the money comes in.
  • You match thousands or tens of thousands of payments a month, not millions.
  • You want a published price, a monthly option and no rollout project.
  • Your ledger is QuickBooks, Xero or NetSuite, or any system that exports a file.
