Billtrust pricing and Billtrust cost in 2026
Billtrust does not publish a price list. ERP Research puts buyer-reported costs at about $20,000 to $60,000 a year, rising with invoice volume, and notes that enterprise suites in this category often pass $75,000, before payment processing fees. No free trial is listed. This guide shows what drives the quote, which costs sit outside it and how to price the one module most teams actually want, cash application.
Billtrust pricing at a glance
Public sources agree on how Billtrust is sold even though none of them prints a single price. The table lists what can be verified and what cannot.
| Item | What is known | Source |
|---|---|---|
| Published price list | None | ERP Research, RFP.wiki |
| How it is sold | Demo first, then a quote scoped to your company | ERP Research |
| Buyer-reported cost | About $20,000 to $60,000 a year, rising with invoice volume | ERP Research |
| Enterprise suites in the category | Often above $75,000 a year | ERP Research |
| Payment processing | Fees on payments taken through the platform, on top of the subscription | ERP Research, Stuut |
| Contract shape | Multi-year terms with annual increases reported by a competitor blog | Stuut |
| Free trial | None listed | ERP Research |
Some review sites show a starting price of a few dollars a month. Those figures describe entry plans on listing pages and do not reflect an ERP-connected deployment, so do not use them for a budget.
How Billtrust pricing works
A Billtrust quote has four moving parts. The first is the module set. Billtrust sells invoice delivery, B2B payment acceptance, AI cash application, credit management and collections, and most buyers do not take all five. The second is invoice volume, which scales the subscription. The third is the ERP integration, since a company on SAP or Oracle with several entities costs more to connect than one on NetSuite. The fourth is payment volume, because card and ACH processing carries its own fees.
Each of those scales with the size of your receivables operation, which is why a distributor sending 40,000 invoices a month and a SaaS company sending 2,000 get very different numbers from the same vendor. Asking "what does it cost" without volumes gets you a vague range. Give the vendor the invoice count, the number of ERPs and your monthly card and ACH payment total on the first call.
Who Billtrust is built for
Billtrust is an order to cash platform based in Lawrenceville, New Jersey, owned by EQT Private Equity since a December 2022 take-private valued at about $1.7 billion. It serves mid-market and enterprise sellers, especially distributors and manufacturers whose customers pay through portals and lockboxes.
If that is your business and you want delivery, payments, cash application and collections from one vendor, the price reflects a wide product. The Billtrust alternative page and the Versapay pricing guide cover the closest comparison. If your pain is narrower, a payment arrives, covers six invoices and short pays one, you are likely paying for modules you will not use.
Building your own first year number
Because there is no price list, build the budget from the inputs the vendor will ask for.
| Input | Why the vendor asks |
|---|---|
| Invoices sent per month | Subscription tier |
| Modules you want live in year one | Per module pricing |
| ERPs and entities to connect | Integration scope |
| Monthly card and ACH payments through the portal | Processing fees |
| Implementation and training help | One-time services |
| Contract term | Multi-year discount and escalator |
Ask for one first year total that includes subscription, implementation and a processing estimate, and a second figure for year two and three. Quotes that show only the subscription line hide the cost that arrives later.
Costs that do not show up on the quote
- Payment processing. If customers pay by card through the portal, the fees accumulate on top of the license, and the rate depends on your mix of card and ACH.
- Annual increases. Ask for a cap on renewal uplifts in writing before you sign a multi-year term.
- Integration work. Every additional ERP or entity needs scoping.
- Remittance cleanup. Payments that arrive as PDFs or emails still need a person when the automation misses, so measure the exception rate during the evaluation.
- Internal time. Someone has to own the rules, the customer portal rollout and the exceptions.
How to negotiate a Billtrust quote
1. State your real invoice and payment volumes up front so the quote is scoped to the work.
2. Name the modules you need and ask for each one priced separately.
3. Ask for the first year total including processing assumptions, and the year two price.
4. Use a competing quote. A Versapay or HighRadius proposal is the strongest lever in this category.
5. Trade term for price, and ask for a cap on renewal increases.
6. Test a cash application tool on one month of your own deposits before you sign. If a cheaper tool matches most payments on its own, you have learned what you are actually buying.
Teams that only need statements in a ledger-ready format sometimes convert bank statements to a CSV for QuickBooks before matching, which is a much smaller problem than cash application.
What a published price looks like for cash application
If the work you want fixed is matching bank deposits, ACH and wire receipts and processor payouts to open invoices, Reconciles reads your deposit file and your invoice export, matches one to one, one to many and many to one, and sends short pays and unapplied cash to an exceptions queue with owners and comments.
Starter costs $888 a year for up to 3,000 matched transactions a month. Growth costs $2,388 a year for up to 20,000 a month across 5 entities with every processor, roles and QuickBooks or Xero journal entries. Scale costs $5,988 a year for up to 100,000 a month across 25 entities, with API and SFTP, approvals, an audit log, NetSuite journal entries and SSO. Monthly billing is $149, $399 and $999. There is no implementation fee.
It does not send invoices, host a customer portal or run collections. Those stay with Billtrust and its peers. See the cash application software page for the full flow.
Billtrust pricing questions
How much does Billtrust cost?
Billtrust does not publish prices. ERP Research reports buyer-reported costs of about $20,000 to $60,000 a year, rising with invoice volume, and notes that enterprise suites in this category often exceed $75,000. Payment processing fees, premium support and multi-ERP integrations add to the total.
Does Billtrust have a free trial?
No free trial is listed by ERP Research. Evaluation starts with a demo and a quote. Reconciles lets you see matched pairs from your own deposit and invoice files before you create an account.
What drives Billtrust pricing?
Invoice volume, the modules you enable, the number of ERPs you connect and payment processing volume drive the quote. Contract length and a competing quote are the usual levers for a discount.
Is Billtrust pricing negotiable?
Yes. Because pricing is quoted rather than published, it can be negotiated with a competing quote, a longer term or fewer modules. Ask for the first year total including processing assumptions and a cap on renewal increases in writing.
Is there a cheaper alternative to Billtrust for cash application?
Yes, if your problem is matching deposits to open invoices. Reconciles costs $888 to $5,988 a year billed yearly with no implementation or processing fee. If you need a customer portal, invoice delivery or collections workflow, compare Billtrust with Versapay, HighRadius or Quadient AR instead.
